Job Description
Position Overview:
The Assistant Facility Manager supports the Facility Manager in overseeing the efficient operation and maintenance of a facility, ensuring a safe, functional, and comfortable environment for occupants and visitors. This role involves managing various aspects of facility operations, coordinating maintenance activities, and assisting in implementing strategic plans to optimize facility performance. The ideal candidate should have strong organizational, communication, and leadership skills, along with a solid understanding of facility management principles.
Key Responsibilities:
1. Facility Operations:
– Assist the Facility Manager in planning, organizing, and coordinating facility operations to ensure smooth day-to-day functioning.
– Monitor and evaluate facility performance metrics, such as occupancy rates, energy consumption, and maintenance costs.
– Implement policies and procedures to enhance operational efficiency and cost-effectiveness.
– Coordinate with internal departments and external vendors to address facility-related issues and service requests promptly.
2. Maintenance Management:
– Coordinate preventive maintenance programs for building systems and equipment, including HVAC, plumbing, electrical, and mechanical systems.
– Schedule and oversee corrective maintenance and repairs to address equipment failures or building deficiencies.
– Conduct regular inspections of the facility to identify maintenance needs, safety hazards, and compliance issues.
– Maintain accurate records of maintenance activities, work orders, and equipment inventory.
3. Vendor Management:
– Assist in selecting, contracting, and supervising external service providers, contractors, and vendors for facility-related services.
– Negotiate contracts, review service agreements, and ensure compliance with quality standards and budgetary constraints.
– Monitor vendor performance, resolve disputes, and implement improvements to service delivery as needed.
4. Health and Safety Compliance:
– Ensure compliance with health, safety, and environmental regulations and standards applicable to the facility.
– Conduct regular safety inspections and audits to identify hazards and implement corrective actions.
– Develop and implement emergency response plans and procedures to address incidents such as fires, natural disasters, or security breaches.
5. Budget Management:
– Assist in developing and managing facility budgets, forecasts, and expense reports.
– Monitor expenditures, analyze variances, and recommend cost-saving measures to optimize operational efficiency.
– Participate in capital planning and budgeting processes for facility improvements and upgrades.
6. Tenant Relations:
– Act as a liaison between facility management and tenants or occupants, addressing their concerns, requests, and feedback in a timely and professional manner.
– Foster positive relationships with tenants through regular communication and engagement initiatives.
Qualifications:
– Bachelor’s degree in Facility Management, Business Administration, Engineering, or related field.
– Proven experience in facility management or related roles, preferably in a commercial or institutional setting.
– Strong knowledge of facility operations, maintenance practices, and regulatory requirements.
– Excellent organizational, communication, and interpersonal skills.
– Proficiency in computer applications such as MS Office and facility management software.
– Ability to prioritize tasks, solve problems, and make sound decisions in a fast-paced environment.
– Leadership abilities and the capacity to work effectively in a team-oriented setting.
– Flexibility to work outside of regular business hours and respond to emergencies as needed.
